This information applies to customers ordering translation services online from outside Türkiye as well as other customers using the English website. Your order identifies the source files, languages, service, certification options, delivery method and estimated completion time. Tell us the receiving institution and any submission requirements before confirming your order.
Price and payment
The price, currency, applicable taxes and selected extras are shown in your quote or checkout before payment. Starting prices are estimates, not a fixed price for every document. Orders start at $14.99, excluding interpreting. Check the final amount and delivery estimate before confirming. Your bank may apply its own currency-conversion or payment charges.
What your order includes
A certified translation includes the complete translation and a signed Certificate of Translation Accuracy. Electronic signing and printed delivery are optional, separately priced extras. Translations are delivered in the source file format, with an additional PDF where possible. Transcripts and translated subtitles are delivered in SRT or TXT format. Printed delivery is available to all countries; transit time is additional to translation time.
Cancellation, corrections and refunds
Read the Cancellation and Refund Terms before ordering. Revisions are free and unlimited. If an issue cannot be resolved, Express Translate provides a refund. Contact us through your customer panel or by email with your order number. Mandatory consumer rights remain applicable and are not replaced by the service policy.
Governing framework
Turkish law applies, including Consumer Protection Law No. 6502 and the Distance Contracts Regulation where applicable. Mandatory consumer protections that apply to your transaction are not excluded because you order internationally. The dispute-resolution clause is set out in the Distance Sales Agreement.

Parties and scope
This agreement is between Express Translate (the Seller / service provider) and the customer identified in the order. Express Translate provides translation and related language services through www.expresstranslate.com and its ordering platform to customers worldwide.

Your order
The confirmed order specifies the source files, source and target languages, services, price, currency, delivery method and estimated completion time. You must provide readable, complete files and accurate contact and billing information. State any requirements from the receiving institution before work begins. You must have authority to submit the files for translation.
Prices and payment
The final quote and selected extras are presented before payment. Translation begins after order confirmation and payment arrangements are complete. If a technical error affects a quote, we will contact you to resolve it before proceeding on revised terms. Additional work or extras must be agreed before being charged. Changes to published prices do not by themselves change a confirmed order.
Translation and certification
We translate the content of the documents you supply. Certified translations include a signed Certificate of Translation Accuracy. The certificate confirms the translation, not the authenticity of the original document or approval of an application. Electronic signing, printed delivery and any other requested certification services are separate options. Share the receiving institution’s instructions when ordering.
Delivery
We confirm an estimated completion time with your quote. Tell us your deadline before payment. Delivery is made through the customer panel, email or the agreed delivery channel. Translations are supplied in the source file format, with an additional PDF where possible. Transcripts and translated subtitles are supplied in SRT or TXT format. Printed delivery is available internationally and requires additional transit time.
Revisions and refunds
Revisions are free and unlimited. If an issue cannot be resolved, we provide a refund. Describe the issue and identify the relevant passages through your customer panel or by email. Additional source text or a new document is new work and requires its own quote. Cancellation requests are handled under the Cancellation and Refund Terms. These policies do not restrict mandatory statutory remedies.
Confidentiality and files
Files are retained for six months; you may request earlier deletion. All our servers use 256-bit encryption. Personal-data processing, legally required records and data-subject requests are covered by the privacy notices and retention policy below. Access and use of documents must remain connected to providing the agreed service.
Intellectual property
You retain rights in the source material that you are entitled to hold. Express Translate’s website design, branding and other protected materials remain with their respective rights holders. Ordering a translation does not transfer ownership of the website or authorize copying its branding. You must not falsely identify yourself or another person as the translator of work prepared by Express Translate.
Delays and events outside reasonable control
If an event outside reasonable control affects performance, we will inform you and discuss the available arrangements. Any limitation of liability or change to delivery remains subject to mandatory law. Nothing in this agreement excludes liability or a remedy that cannot lawfully be excluded.
Governing law and dispute resolution
Turkish law governs this agreement, subject to mandatory consumer protections. The courts and enforcement offices of İstanbul (Çağlayan) Courthouse have jurisdiction over disputes arising from implementation or interpretation of this agreement. Express Translate also retains the right to bring proceedings in the city where the customer is registered, subject to applicable law. This clause does not remove any mandatory consumer right to use another competent court, consumer authority or dispute-resolution body.
Changes and contact
The terms presented with your confirmed order govern that order, subject to mandatory law and any later agreement between the parties. Contact [email protected] with your order number for contractual notices, questions or complaints.

Requesting cancellation
Contact Express Translate promptly through your customer panel or at [email protected]. Include your order number and a clear cancellation request. Under our cancellation policy, you may cancel within six hours after payment if the translation process has not begun and the service has not been delivered. The policy provides a refund within seven days after receipt of an eligible cancellation notice. This service policy does not shorten any mandatory statutory withdrawal period.
Statutory withdrawal rights
Where the Turkish consumer distance-contract rules apply, the withdrawal period for a service is generally 14 days from the agreement date. The rules include an exception for services whose performance begins with the consumer’s consent before that period ends. Whether an exception applies depends on the transaction and the legally required consent. International customers also retain mandatory rights applicable to their transaction; this page does not exclude those rights.
Translation corrections and refunds
Revisions are free and unlimited. If an issue with the translation cannot be resolved, Express Translate provides a refund. Explain the issue through your customer panel or by email so we can review it. A request to translate additional or replacement source content is a new service request, rather than a correction to the original translation.
If we cannot provide the service
If performance becomes impossible, we will notify you and handle the refund under applicable law. Where the Turkish distance-contract rules apply, notice must be given within three days after learning of the impossibility and payments refunded within 14 days after notice. A bank or payment provider may need additional processing time to display the refund.

Express Translate places great importance on data security and protection. We want you to know that your personal information is protected during transactions on our website and that recorded information and documents you send are carefully protected throughout the work process. This privacy statement explains which personal data we collect and how we use it. It does not cover links to pages not belonging to Express Translate.
Recording and processing personal data
We do not collect information such as your name, address, telephone number or email address unless you provide it voluntarily. When you visit, our web server normally records the IP address assigned by your internet service provider, the pages visited through our websites, and the date and duration of the visit. Personal information collected when visiting the website is used within the law.
Use and transfer of personal data
We use personal information solely for technical website administration and to meet your requests and requirements, and only for the stated purpose. Personal data is disclosed to state institutions or public authorities only under binding national legal provisions. Express Translate must act in accordance with confidentiality principles, and our employees must follow strict confidentiality rules.
Your choices
We would like to use your data to inform you about our services and consult you about them where necessary. Participation is entirely your choice. You may tell us at any time if you do not consent, and we will restrict access to your information accordingly. Registered users may view their data and, where necessary, delete or change it. If incorrect information has been recorded despite our efforts to keep it accurate and current, it will be corrected when you notify us. You may delete personal information registered on the website at any time.
Cookies
The Express Translate team uses cookies to follow visitor preferences and design the website accordingly. Cookies are small files stored on your computer’s hard drive. They make navigation and website use easier, help us adapt content to your needs and improve our service. They may also identify whether your computer has visited our pages before.
Most browsers accept cookies automatically. You can delete cookies already stored on your computer at any time. Refusing cookies may limit service functionality.

In this context, having been clearly informed without ambiguity, I expressly consent to Express Translate processing my Personal Data through all channels in accordance with Law No. 6698 and the information in the Privacy Notice, for purposes including retaining information required by law; supplying products or services to customers; obtaining products or services from suppliers or manufacturers; establishing and performing contractual or non-contractual commercial relationships; identifying and checking the parties signing related documents; recording identity, address, tax number and other information to identify the owner and addressee of related applications, work and transactions; and preparing information and documents supporting paper or electronic transactions.

Notice concerning personal data processing
This document is prepared to fulfil the information obligation of Express Translate (“Express Translate”), as “Data Controller” under Article 10 of Personal Data Protection Law No. 6698 (“Law”), concerning processing of personal data supplied to or collected by Express Translate and your associated rights. “Personal Data” means information about an identified or identifiable natural person, such as name, address, telephone number and email.
The data controller is Express Translate, at Cevizli, Mustafa Kemal Cd. Hukukçular Towers A Blok No:66 A Kat:18, 34865 Kartal/İstanbul, Türkiye. Express Translate may process and retain your Personal Data in accordance with the Law.
Purposes of processing
Express Translate may process your Personal Data to retain it for compulsory, necessary or useful transactions within the law; obtain products or services for Express Translate; provide contractual services to customers; record identity, address, tax number and other details to establish the owner and addressee of related work and transactions; and prepare information and documents supporting paper or electronic transactions.
Collection methods and legal grounds
Personal Data is collected orally, in writing or electronically through all tools and channels, in connection with supplying customers with products or services or establishing and performing contractual or non-contractual commercial relationships. Collection is for the purposes above and rests on the legal grounds of fully and correctly performing contractual and statutory obligations.
Data collected on these grounds may be processed and transferred for the purposes in this notice in accordance with the Law’s fundamental principles and the processing conditions and purposes in Articles 5 and 6.
Express Translate collects Personal Data only for definite, clear and lawful purposes and may retain it for the periods required by those purposes. It will not process it incompatibly with the purposes of collection under the Law and this notice. When the reasons for processing cease, it will delete, destroy or anonymize the data on its own initiative or at the data subject’s request, subject to statutory retention obligations.
Transfer of customers’ personal data
To achieve the processing purposes above and for legal compliance and legal, financial, tax or similar audits, Express Translate may transfer Personal Data to business partners, customers, suppliers and manufacturers; direct or indirect domestic or foreign affiliates; its officers, internal units and shareholders; internal and external auditors and contracted independent audit firms; legal advisers; other third parties from whom it receives or plans to receive consultancy, support or services, including cloud providers whose servers may be in various countries; legally authorized institutions and organizations; and private persons.
Transfers are subject to the processing conditions and purposes in Articles 8 and 9. Data may be processed in Türkiye or abroad, and Express Translate may also share it through other media.
Customers’ rights as data subjects
Under Article 11, data subjects may apply to Express Translate to:
Learn whether their Personal Data is processed.
Request information if it has been processed.
Learn the purpose of processing and whether the data is used for that purpose.
Know the third parties to whom data is transferred in Türkiye or abroad.
Request correction of incomplete or inaccurate processing.
Request deletion or destruction under the conditions in Article 7.
Request notification to recipient third parties of the actions taken under the correction and deletion/destruction provisions, described in the source as subparagraphs (d) and (e).
Object to an adverse outcome arising solely from analysis through automated systems.
Request compensation for damage caused by unlawful processing of Personal Data.

Translation files and statutory records
Translation files are retained for six months. You can request earlier deletion by contacting [email protected]. Statutory accounting, transaction or other legally required records may follow different retention obligations under the policy below.
Purpose of the destruction policy
This Policy describes how Express Translate deletes, destroys or anonymizes personal data on its own initiative or at the data subject’s request when the processing conditions in Articles 4, 5 and 6 of Personal Data Protection Law No. 6698 (“Law”) cease to exist. It concerns data processed lawfully and follows the Regulation on Deletion, Destruction or Anonymization of Personal Data published in the Official Gazette on 28 October 2017 (“Regulation”).
Environments where personal data is stored
Data is stored securely in accordance with the Law and relevant legislation in these environments:
Electronic: CRM, MS SQL Server, email mailboxes and Microsoft Office programs.
Physical: departmental cabinets, folders and archives.
Reasons for retention and destruction
Express Translate stores personal data securely in the physical or electronic environments above, within legal limits, particularly to continue educational and commercial activities, fulfil legal obligations, plan and provide employee rights and benefits, and manage customer relationships.
Retention grounds are: direct relevance to establishing or performing contracts; establishing, exercising or protecting a right; Express Translate’s legitimate interests without harming fundamental rights and freedoms; fulfilling a legal obligation; an express statutory retention requirement; and express consent where retention requires it.
Under the Regulation, Express Translate deletes, destroys or anonymizes data on its own initiative or on request when:
The legislation forming the basis for processing or storage is amended or repealed.
The purpose requiring processing or storage ceases to exist.
Processing conditions under Articles 5 and 6 cease to exist.
The data subject withdraws consent where processing rests solely on express consent.
The controller accepts a request for deletion, destruction or anonymization under the rights cited in the source as Article 11, paragraph 2(e) and (f).
The controller rejects a request, gives an inadequate answer or fails to answer within the statutory period, and a complaint to the Board results in the request being upheld.
The maximum retention period has expired and no condition justifies further retention.
Measures to protect personal data
Under Article 12, Express Translate takes the technical and administrative measures necessary to provide an appropriate security level, prevent unlawful processing and access, and protect stored data. It conducts or commissions the necessary audits. These measures are also set out in the Personal Data Policy. If third parties obtain data unlawfully despite the measures, Express Translate informs the relevant units as soon as possible.
4.1 Technical measures
Technical measures follow technological developments and are periodically updated and renewed.
Access and authorization solutions reflect the legal compliance requirements identified for each business unit.
Access permissions are restricted and reviewed regularly.
Measures are checked periodically; risks are reassessed and suitable technical solutions developed.
Antivirus systems, firewalls and associated software and hardware are installed.
Personnel with technical knowledge are employed.
Applications collecting personal data undergo regular security scans; identified vulnerabilities are addressed.
Penetration-testing services are obtained when needed to check system weaknesses.
Personal data destruction is carried out so that the data cannot be recovered and does not leave an audit trail.
4.2 Administrative measures
Employees receive training on technical measures preventing unlawful access.
Internal access and authorization procedures are designed and implemented according to each unit’s processing-compliance requirements. Sensitivity and importance are considered when restricting access.
Documents governing employment relationships and containing personal data include requirements to comply with lawful-processing obligations, not disclose or unlawfully use data, and continue confidentiality after employment ends.
Employees are informed that they may not disclose learned personal data contrary to the Law or use it outside its processing purpose, including after leaving employment; the necessary undertakings are obtained.
Contracts with lawful recipients require appropriate security measures and compliance within their organizations.
If others obtain processed data unlawfully, Express Translate informs the data subject and the Board as soon as possible.
Knowledgeable and experienced personnel are employed when needed, and staff receive training on data-protection legislation and information security.
Express Translate conducts or commissions audits to implement the Law and remedies confidentiality and security weaknesses identified.
Measures for destruction
Even if data has been processed lawfully, Express Translate may delete or destroy it on its own decision or at the data subject’s request when the processing grounds cease. After deletion, relevant persons cannot access or use the deleted data again.
An effective tracking process defines and monitors destruction. It identifies the data to be deleted, the relevant persons and their access methods, then deletes the data. One or more of the following methods may be used depending on the storage medium.
5.1.1 Deletion
Deletion makes personal data inaccessible and unusable for relevant users. Methods may include:
Blacking out paper records by crossing out, painting over, cutting out or erasing the data.
Removing users’ access rights to office files held in a central file location.
Deleting database rows or columns containing personal information with the Delete command.
Obtaining expert assistance for secure deletion when needed.
5.1.2 Destruction
Destruction makes data inaccessible, irretrievable and unusable by anyone. Methods include physical destruction, paper shredding and demagnetization. Demagnetization exposes magnetic media to a high magnetic field in specialized equipment, disrupting the data so it cannot be read.
5.1.3 Anonymization
Anonymization makes data impossible to associate with an identified or identifiable natural person, even by matching it with other data. Methods may include:
Masking: removing the data’s principal identifying information from the dataset.
Removing records: excluding rows containing unique information from the retained records.
Local suppression: hiding a data item where its rare combination makes it identifying.
Global recoding: deriving more general information so it cannot be associated with a person, such as using age instead of date of birth or region instead of a full address.
Under Article 28, anonymized data may be processed for research, planning and statistics. Such processing falls outside the Law and does not require the data subject’s express consent.
Express Translate may decide on deletion, destruction or anonymization on its own initiative and freely determine the method within the selected category. Where a data subject selects a category in an application under Article 13 of the Regulation, Express Translate still chooses the method within that category.
Retention and destruction periods
Express Translate retains data for as long as needed for the processing purpose. If the original collection purpose or a secondary processing basis stated in this Policy ceases, retention may continue for the periods stated on this page.
A statutory retention period is followed where specified. Otherwise, the maximum period in the table referred to on this page applies. Those periods are determined by evaluating data categories and subject groups, meeting statutory obligations and considering the maximum ten-year limitation period in the Turkish Code of Obligations.
When expiration creates an obligation to delete, destroy or anonymize, Express Translate does so in the first periodic destruction operation following that date.
Applications by data subjects
Under Article 13 of the Law and Article 12 of the Regulation, a data subject may request deletion or destruction by submitting the application form available from Express Translate under the Personal Data Policy.
If all processing conditions have ceased, the controller deletes, destroys or anonymizes the requested data, completes the request within 30 days and informs the data subject.
If all conditions have ceased and the data was transferred to third parties, the controller informs those parties and ensures that they take the measures required by the Regulation.
If processing conditions have not all ceased, the controller may reject the request with reasons and notify the applicant in writing or electronically within 30 days. Express Translate may reject deletion for these reasons:
Processing for official statistics or, after anonymization, research, planning or statistics.
Processing for artistic, historical, literary or scientific purposes or freedom of expression, provided it does not violate national defence, national security, public security, public order, economic security, privacy or personal rights, or constitute an offence.
Preventive, protective or intelligence activities by legally authorized public institutions to safeguard national defence, national security, public security, public order or economic security.
Processing by judicial or enforcement authorities concerning investigations, prosecutions, trials or execution of sentences.
Processing necessary to prevent or investigate crime.
Processing data made public by the data subject.
Processing necessary for legally authorized public institutions or public professional bodies to perform inspection or regulatory duties or disciplinary investigations or prosecutions.
Processing necessary to protect the State’s economic and financial interests in budget, tax and financial matters.
A request that may obstruct other persons’ rights and freedoms.
A request requiring disproportionate effort.
Information that is publicly available.
7.1 Exercising data-subject rights
Data subjects may submit requests concerning the rights referred to in the source’s section 9 by completing and signing the application form available from Express Translate, supplying identifying information and documents, and using the stated methods or other methods determined by the Board.
A third party applying on a data subject’s behalf must hold a special power of attorney issued through a notary in that person’s name.
7.2 Right to complain to the Personal Data Protection Board
Under Article 14, where an application is rejected, the answer is inadequate or no timely answer is given, the data subject may complain to the Board within 30 days after learning of Express Translate’s response and in all cases within 60 days after applying.
Information the company may request
Express Translate may request information to establish whether the applicant is the data subject and ask questions to clarify the application.
Revision and repeal
If the Policy is amended or repealed, the revised version or replacement policy will be published on the website.
Effective date
This Policy takes effect on 15 January 2020.

Personal Data Protection Law No. 6698 and general confidentiality agreement
Parties
On one side are Express Translate and its group companies (“EMPLOYER”). On the other are the customers, suppliers, product service providers, distributors, dealers, employees, applicants, interns, service providers, freelancers and consultants with whom data is shared (“EMPLOYEES AND OTHERS”). They agree to the following conditions.
Subject
This agreement supplements the written or oral service agreement between the parties (“SERVICE AGREEMENT”). It defines confidentiality limits and conditions for information and documents supplied by the Employer, as Data Controller, to Employees and Others in connection with their work. It aims to prevent disclosure, access, provision or leakage of personal data, special-category personal data and general data to third-party natural or legal persons without the Employer’s approval or the express consent statement of Employees and Others.
Definition of confidential information
Confidential information includes personal information defined under the Personal Data Protection Law; all information about an identified or identifiable natural person; health information; and data concerning race, ethnicity, political opinion, philosophical belief, religion, denomination or other beliefs, appearance and clothing, membership of associations, foundations or trade unions, health, sex life, criminal convictions and security measures, biometric data and genetic data.
It also includes ideas, projects, expertise, designs, inventions, business methods, patents, copyright, trademarks, trade secrets, know-how and innovations whether legally protected or not, disclosed by the Employer during the tasks or Services, and all written or oral commercial, financial or technical information and communication methods learned during the work.
Parties’ obligations
The Employer undertakes to provide the information and documents necessary for the Employee to perform the work fully and completely under the Service Agreement.
The Employer acknowledges that the Employee cannot be held responsible for deficiencies, delays or disruptions caused by incomplete or incorrect confidential information disclosed to Employees and Others.
Employees and Others acknowledge that information and documents disclosed by the Employer are confidential. They undertake to keep that information to themselves and allow third persons, institutions or organizations potentially contributing to performance to know only what is necessary for the work. Information and documents may not be disclosed outside the work’s purposes to third-party natural or legal persons or organizations without the Employer’s permission.
Employees and Others accept responsibility for breaches of these confidentiality principles by third parties potentially contributing to performance. They undertake to ensure those parties comply and to notify the Employer immediately in writing upon learning of a breach.
If confidential information or personal data is disclosed, made accessible, leaked or otherwise exposed contrary to this agreement, the Employer may pursue all legal remedies at the Employee’s expense and seek compensation from Employees and Others for all loss suffered.
Duration
This agreement takes effect when signed and its obligations continue while the Service Agreement remains valid.
After the Service Agreement ends, confidentiality and protection continue indefinitely for business and product information and personal data, excluding anonymized personal data, information authorized by the Employer, and cases where the data subject has consented.
Amendments
This agreement replaces earlier written or oral agreements between the parties, particularly on confidentiality, except agreements concerning information not listed here and patents or similar inventions. Changes must be made in writing.
Notices
Addresses stated in the agreements, documents and texts referenced here are valid addresses for service. Notices sent to those addresses remain legally valid unless a change has been communicated to the other party in writing.
Entry into force
This agreement consists of eight articles and has been drawn up, read and accepted by the parties of their own free will.
